Terms & Conditions for the Best Rates Guaranteed by BDL Hotels

Every hotel reservation booked through a BDL Hotels website* is guaranteed to have the lowest rate publicly available on the internet or the relevant hotel will match a lower rate under the following conditions:

If you find a rate on a competing web site that is lower than the lowest rate shown on the ‘Best Available or Standard’ search of a BDL Hotels web site, the hotel will honor that rate for the nights for which the lower rate was found, plus give you an additional 10% discount off the lower rate found upon its verification by the hotel. 

For the purpose of the Lowest Internet Rate Guarantee, a competing web site is defined as a web site that is not owned by BDL Hotels.

Rooms on the other web site must be publicly available, viewable and bookable on the Internet at the time of verification. 

Lower rate found must be for the same hotel and same type of accommodations, and for the same dates. 

If a lower rate is found on a third party web site, but is lower due to the currency exchange rate and/or rounding applied on the third party web site, the Guarantee does not apply. 

The Guarantee applies only to published rates available to the general public. Guarantee does not include rates that have been negotiated by the hotel with corporations, corporate rates, government rates, promotional rates or travel agency rates. This excludes private rates, rates involving a prepaid voucher program, require a coupon or promo code, hotel rooms sold as part of a travel package, group rates (5+ rooms), meeting rates, any rates requiring membership in a club such as AAA rates or AARP rates, affinity program, or other organisation where the rates are targeted toward a specific group of individuals and not intended for the general public; only publicly available rates apply. 

To use this Guarantee, you must advise the relevant hotel within 24 hours of booking your room or by filling out the online Lowest Internet Rate Guarantee Form with your booking details.

The competing rate must also be for the same number of guests.

If there is a rate available on our website that is the same or lower than the rate on the other website, the hotels best rate will be offered instead. Due to rounding and other issues, rates within £0.50 of our Best Available Rate will be considered a match and will not qualify for Best Rate Guarantee claims.

For a multiple night stay, the total room cost for the stay will be evaluated in determining whether the other website has a lower rate.

The type of room for which the application of the Guarantee is sought must be the same type of room as booked on the BDL Hotels web site.

Example: A guest books a king bed with sofa bed room type on the BDL web site, but a lower rate is listed for a king bed room type only on the BDL web site. If the third party web site lists a lower rate for a ‘Standard Room - One King or Two Double Beds’ - the Guarantee does not apply.

Guest must have a confirmed reservation from the BDL Website with a reservation system confirmation number.

To file a claim, fill out the online Claim Form with your booking details. Only one valid claim can be submitted per person, per e-mail address, per calendar month. All reservations must be for personal use only and booked by the guest who will actually be staying at the hotel. Reservations booked by brokers or agents will not qualify. Best Rate Claims and any discounted rates issued under this program are not transferable.

Any rate change is not effective until the guest receives written confirmation. The standard claims processing time is 24 business hours. Claims submitted outside of business hours will be processed on the next business day. If a guest’s stay begins before written confirmation is received, the original rate will remain in effect. The participating hotel recommends that the written confirmation of any rate change be presented by the guest at check-in.

Guarantee does not include web sites or rates where the hotel brand and specific hotel are not known until the booking is made.

The guarantee does not apply to packaged rates. A package is defined as being an offer that bundles travel with hotel such as: airfare + hotel stay, hotel stay + car rental, or similar packages. Room rates that include Food and Beverage items such as breakfast or dinner; room rates that include entertainment items such as tickets to a show or venue; and room rates that include free local calls are considered to be packages.

Only one 10% discount per night regardless of the number of lower rates found.

If the guest is a member of Wyndham Rewards or IHG Priority Club loyalty program, the number of Reward Points, airline miles of other currency to be awarded will be based on the rate actually paid by the guest at check-out.

For purposes of this Guarantee, the “rate” includes the room rate only and does not include any taxes or tariffs (i.e. VAT) or any guest fees or charges which may be imposed by the hotel on the guest’s stay.

The rates available under this Guarantee cannot be combined with any other special or promotional offers or discounts.

Void where prohibited by law. BDL Management reserves the right to modify, alter, suspend or terminate this Guarantee at any time without prior notice at its sole discretion.

How to Submit a Claim

Before submitting a claim, please ensure that your claim meets the following requirements:

1. You booked your original Internet reservation on one of the following sites: www.bdlmanagement.co.uk, www.bdlhotels.co.uk, or the hotels own website
2. It has not been more than 24 hours since you booked your original Internet reservation.
3. The competing rate must be available to the general public.
4. The competing rate must be confirmed as available.
5. Your original Internet reservation was not booked within 48 hours of arrival. Because BDL Hotels’ staff must check the availability of the competing rate before honouring a claim, we cannot guarantee reservations booked within 48 hours of arrival.

If you meet the above requirements, please complete the online Guarantee Claim Form below. You will hear back from a hotel member of staff, via e-mail or phone, within 24hours of submitting your claim 

*A BDL Hotel is defined as any hotel that is owned or managed by BDL Management Ltd and appears on the hotels listing on www.bdlhotels.co.uk
